What Does a Multifamily Video Intercom System Cost in the U.S.?

When evaluating a video intercom system for a multifamily property, owners, developers, and property managers usually want answers to two questions: What will it cost to deploy, and what expenses should they expect after the system goes live?

The answer rarely comes down to the price of the entry panel. The budget may also include additional access points, indoor monitors or mobile app licenses, cloud-hosted or self-hosted software, installation, network infrastructure, integrations, and ongoing technical support.

That is why two proposals with similar hardware totals can have very different overall costs. One vendor may bundle software licensing and mobile access with the devices, while another prices them separately. One property may need a single main entrance; another may require multiple entrances, parking access, service doors, and restricted interior areas.

This guide breaks down the cost of a multifamily video intercom system in the U.S. and provides a sample budget for a 50-unit property.

For an initial estimate, it helps to divide the project into five cost categories. This makes it easier to see why proposals with similarly priced entry panels can produce very different total budgets.

Consider a property with 50 apartment units, two main entrances, two additional access-controlled doors, and two mobile devices per unit. Both configurations use the same entrance hardware; the difference is in the apartment-side equipment and licensing.

The two main entrances are each equipped with one AV-09KFBI entry panel. Each of the two additional access-controlled doors uses one CE-44 controller and one CR-02BD reader. This is why the equipment schedule includes two entry panels, two controllers, and two readers.

In the app-only configuration, each of the 50 units requires its own Link Cloud Basic package. One package includes up to five mobile app licenses for a single unit and, based on BAS-IP’s recommended U.S. pricing as of July 2026, costs $12 for 1 year or $96 for 10 years. Fifty packages therefore cost $600 for 1 year or $4,800 for 10 years. The monitor-based configuration adds 50 AZ-07LL indoor monitors at $384 each, for a total of $19,200. Each monitor includes two Basic mobile app licenses for its unit for 10 years.

What the numbers show. Over 10 years, the difference between the two configurations is $14,400, or $288 per apartment unit. The indoor monitor itself costs $384, but it also includes two Basic mobile app licenses for the unit for 10 years. In the app-only configuration, equivalent mobile access would cost $96 per unit. The effective 10-year premium for adding a fixed in-unit monitor is therefore about $288 per unit, excluding installation. These are not two identical systems; they are two different approaches to equipping the apartments.

Hardware: Entrances, Additional Doors, and Apartment Units

The hardware scope begins at the main entrances, but most projects extend beyond them. Separate access control may be required at a parking entrance, vehicle gate, pedestrian gate, service area, fitness center, bike room, or elevator lobby. Each controlled opening may add a controller, reader, lock, power supply, and cabling to the budget.

Published panel pricing may also exclude the mounting box, bracket, power supply, and other required accessories. Hardware should therefore be scoped door by door, not only by the number of main entrances.

Licensing: What Are You Actually Billed For?

Hardware is usually priced per device. Software is more complex: vendors may charge by apartment unit, user, mobile device, door, property, or license package. Terms that sound interchangeable – account, user, app, and mobile app license – may represent different billing units.

With BAS-IP, each mobile device consumes one license. If the same account is signed in on two smartphones, two mobile app licenses are used. The estimate must therefore include not only the number of residents or accounts, but also the number of phones expected in each unit.

With BAS-IP Link Cloud Basic, mobile app licenses are calculated separately for each apartment unit. One package provides up to five mobile app licenses for one unit. Unused licenses cannot be transferred to other units.

At a 51-unit property where the app will be used on two smartphones in every unit, 51 Link Cloud Basic packages are required – one per unit. This model keeps licensing and resident turnover management aligned with individual apartment units.

Cloud-Hosted or Self-Hosted Deployment

Software cost depends not only on the number of users and licenses, but also on where the server environment runs.

In a cloud-hosted deployment, the vendor operates the server environment. The property does not need to deploy its own server, configure backups, or maintain and update the operating system. Cloud delivery does not eliminate licensing, however: charges may depend on apartment units, users, devices, or subscription term. In a self-hosted deployment, the software runs on a server managed by the owner, property manager, or local partner. This provides greater control over the infrastructure, but adds responsibility and cost for the server, backups, updates, monitoring, and administration. BAS-IP Link Self-Hosted can be deployed without a separate fee for the base server license, while mobile calling and advanced features require the appropriate server tier and user licenses.

Some BAS-IP Link Self-Hosted user licenses have minimum order quantities. Individual user licenses have a 10-user minimum. The exact license mix and package structure are determined when the project is quoted.

Mobile App or Indoor Monitors

Separately from the server deployment model, the project team must decide how residents will answer calls: on a smartphone, on an indoor monitor, or both. This choice affects both upfront cost and ongoing operations. An app-only approach reduces the amount of hardware inside apartments, while a compatible BAS-IP indoor monitor remains a permanent in-unit device and includes two Link Cloud Basic mobile app licenses for 10 years.

Installation, Infrastructure, Integrations, and Local Partner Services

Installation cost depends on the building: existing cabling, the number of controlled openings, panel mounting requirements, pathway conditions, and whether work is required inside apartment units. In new construction, these requirements can be planned in advance. At an existing property, the project may include removing the legacy system, installing new cabling, and repairing finishes.

Network switches, cabling, power supplies, locks, server infrastructure, and backups are budgeted separately. BAS-IP supports integrations with third-party systems. When a project includes an external platform, its licensing and integration work should appear as separate line items.

A clear proposal should separate BAS-IP hardware and licensing, local partner installation and service, and any third-party platform fees. This shows which costs are set by the manufacturer and which depend on the property and contractor.

Post-Deployment Costs and License Expiration

Once the system is live, residents move in and out, new users and doors are added, devices require diagnostics, and software licenses may need renewal. Long-term budgets can include access administration, resident support, service calls, device replacement, software updates, and server administration.

Before purchase, confirm the first renewal date, the renewal price, and which mobile or software features require an active license. License expiration does not necessarily mean the installed hardware stops working altogether; the impact depends on the configuration and primarily affects licensed features.

The app itself may be free to download, but active user licenses and access to a cloud-hosted or self-hosted software platform may still be required. In compatible BAS-IP configurations, two Link Cloud Basic mobile app licenses may be included with the device for 10 years.

Professional video intercom projects typically price local services separately from hardware and software licenses. For BAS-IP systems, first-line support, configuration, commissioning, and training are usually provided by the local distributor, systems integrator, or service provider. The partner proposal defines the scope and price of those services.

How to Compare Proposals on a Like-for-Like Basis

To compare multiple systems accurately, send every vendor the same property brief and ask them to break the proposal into the same categories:

  • number of apartment units, main entrances, and additional controlled doors;
  • whether indoor monitors are required and the number of mobile devices per unit;
  • hardware, required accessories, and network infrastructure;
  • licensing unit, package size, minimum order quantity, and term;
  • 1-, 3-, 5-, and 10-year cost, including renewals;
  • installation, support, taxes, and all exclusions.

Cost per unit becomes meaningful only after the proposals are normalized this way. In one proposal, it may include an indoor monitor and 10 years of mobile access; in another, only a share of the entry panel cost or the first year of a subscription.

A video intercom system’s cost is not defined by the entry panel alone. A complete project may include entrance and in-unit devices, mobile and server licenses, additional doors, network infrastructure, installation, support, and post-deployment expenses.

In a monitor-based configuration, apartment hardware accounts for a significant share of the upfront budget. In an app-only configuration, more of the cost shifts to mobile app licensing.
